We are seeking to hire an ExecutiveAssistant to provide administrative assistance to the VP-Human Resources
Specific Role Responsibilities:
-A significant portion of your role will be engaged in providing administrative support for projects, cutting data, preparing reports and tracking data on spreadsheets, and creating presentations. You will gather and distribute monthly/quarterly reports. You will maintain a regional HR database of regional and country HR policies, processes and guidelines, including HR tools to support the regional/country HR function to promote process improvements and operational excellence goals. You will be a key resource to coordinate and track progress of special projects and update dashboards, working closely and effectively with the VP- HR AP and Country HR Managers and HR project teams.
-You will help to plan and coordinateregional and function meetings and events, and advise on group travel arrangements for your manager and the regional leadership team as required. You coordinate POs for expenses to be paid to vendors. You also support your manager on expense reports for reimbursements, process expense budgets and reports and monitor for compliance.
-You manage a calendar of appointments for your manager planning and scheduling meetings, setting up and scheduling tele/video conferences. You compile documents for local and travel-related meetings, collecting agendas for requested meetings where applicable.
Experience & Qualifications
Bachelors degree in a related field, with 6 8 years professional administrative experience, preferably gained in a multi-country role with a multinational organization
Demonstrated ability handling confidential information and working with a high level of integrity and ethics
Good planning and organizational skills with a quality focus and attention to detail and proactivity with ideas and recommendations for productivity and efficiency improvements
Experience working in a cross culture environment where, self-motivation, team work and collaboration are valued
Proven experience including problem solvingand task prioritization
Good verbal and interpersonal communication skills; fluency in English is mandatory
Expert level experience working with Microsoft Office, Excel, PowerPoint and other digital communication tools used in a modern business office environment.
